CHANGES TO RESERVATIONS: Changes made after booking are often costly. Any changes made to your existing reservation are subject to the current rates, promotions, and terms at the time of change. Changes made to air reservations can incur fees up to 100% of your airline ticket and a new ticket will be at the rate on the day you make the change.
FINAL PAYMENT: Each supplier (airline, hotel, tour operator, cruise line, etc.) has their own final payment dates. The final due date we need your payment is on your invoice. Final payments or installment payments are not automatically charged. You must notify Specially Designed Travel, LLC when you are ready to make a payment. We try to send reminders several weeks before the due date but ultimately, the responsibility for payment on the date due is yours. Therefore, please note your calendar of this final payment date as reminders may not be sent.
HOW TO MAKE PAYMENT: To make any payment, go to our at https://speciallydesignedtravel.com/forms/ and click on the Make A Payment Button. This just sends your payment information to us and we will make the payment on your behalf. You will need your confirmation number which is at the top right on the invoice.You will need to text or email the security code on your card. We will then make the payment on your behalf. It may take up to 24 hours for payment to be made to supplier. IMPORTANT: If you complete the payment form within 24 hours of the due date for an initial deposit or a final payment, you must contact your agent by phone or text so that your deposit or final payment is not missed. Specially Designed Travel LLC is not responsible for cancellations due to deposit or final payments being missed due to the late (24 hours or less) completion of the payment form.
AGREEMENT TO THE TERMS AND CONDITIONS OF CRUISE LINE AND OTHER SUPPLIERS: By requesting Specially Designed Travel, LLC to book travel for you, you are giving us the authority to agree to the terms and conditions of each cruise line or supplier on your behalf. You will be bound to those terms which include cancellation penalties and other terms. Specially Designed Travel, LLC will not be held responsible for your compliance with these terms.
CANCELLATION PENALTIES: Cancellation penalties are set by the cruise line, air, hotel or other supplier you use.
HOW TO CANCEL: For Cancellations, you must submit our Cancel form – please notify us via email or text that you need to cancel and we will e-mail the form.
CHARGE BACK: You acknowledge, understand, and expressly agree to the cancellation policies, fees, and penalties imposed by the Supplier and Specially Designed Travel. By accepting these terms and conditions, you waive any and all rights to initiate a chargeback or dispute any purchase made under this Agreement with your credit card processor or bank
TRAVEL INSURANCE: Specially Designed Travel, LLC recommends the purchase of a travel protection plan to help protect you and your travel investment against the unexpected. Travel protection plans can include coverage for Trip Cancellation, Trip Interruption, Emergency Medical and Emergency Evacuation/Repatriation, Travel Delay, Baggage Delay and more. For more information on the available plans or to enroll, ask your agent or contact Travelex Insurance Services at 800-228-9792 and reference location number 34-0019. Travel Insurance is offered on behalf of and under the direction of Travelex Insurance Services, Inc (CA Agency License #0D10209). Insurance coverage underwritten by individual member companies of Zurich in North America, including Zurich American Insurance Company (NAIC #16535, state of domicile: New York), 1299 Zurich Way, Schaumburg, IL 60196.
CANCEL FOR ANY REASON TRAVEL INSURANCE: If you are interested in Cancel for Any Reason insurance,please contact your agent as soon as possible prior to or after deposit. The Cancel for Any Reason policies are only available for a short period after a deposit is made. That time frame is anywhere from 7 days to 21 days. Please Note: if you initially reserve a room only package & are able to add airfare to the package through Specially Designed Travel, LLC at a later date, your cancel for any reason insurance policy cost will be adjusted to accommodate the revised total trip package cost at that time.
MULTIPLE INDIVIDUALS OCCUPYING A ROOM: If the number of individual occupying a room changes, the remaining travelers will be responsible for any additional costs incurred as a result of the change in the per-person occupancy rate. Insurance will not cover the cost of the change in number or persons occupying a room.
TRAVELING WITH CHILDREN: Children under 18 years of age not traveling with both parents or legal guardian(s) may need to present a notarized letter from the absent parent/guardian granting permission to travel outside the United States and provide emergency medical care if necessary. Please refer to our website for a sample form. Specially Designed Travel, LLC is not responsible for lack of compliance to provide proper documentation to airport authorities. It is the responsibility of the traveler & the traveler’s parents/guardians to provide proper documentation to airport authorities.
TRAVEL DOCUMENTS: Travel documents will be sent to you no later than ten (10) days prior to departure date. Please read through these documents immediately; misprints, misspellings, incorrect dates etc. are not the responsibility of Specially Designed Travel, LLC. Included in your travel documents (if airfare is purchased through Specially Designed Travel, LLC) are airline electronic ticket receipts (proof of purchase, not boarding passes or actual tickets). Boarding passes are printed at the time of check in; online with the airline directly, or at the airport when showing passport & checking in luggage. It is very important that you take your travel documents with you in addition to passports and a major credit card for any baggage fees that may apply.
NOTICE OF RESORT ATTIRE: Most resorts have dress codes for evening dining. Men should plan to take long pants and closed toed shoes for dining unless you wish to eat only at the Buffet Restaurant. Sleeveless shirts are not allowed for men in the restaurants or buffet. Women are allowed to wear strappy dresses and sandals but the dress must provide full coverage. Bathing suits, cut off shorts and flip flops are typically banned for evening dining.
NOTICE OF BEDDING: Most resorts will NOT guarantee bed configuration (ie: 1 king vs 2 doubles). We do make bedding requests to the hotel but cannot be responsible should you not be given the bedding set up of your choice. Resorts are very good about trying to make you happy and will do what they can onsite to get you the bedding you desire. You will have to advocate with the front desk of the resort if you desire changes to room bedding.
NOTICE REGARDING ROOM CHECK IN: Check-in time at most resorts is 3:00pm (local time). If you arrive prior to 3:00pm your room may not be ready. The resort will store your luggage in a secure location on property so you may start enjoying your vacation without delay. Change into something more comfortable and enjoy a nice lunch, swim in the pool, walk along the beach, etc. until you are notified that your room accommodation is ready for check in.
SUPPLIER — Definition means any cruise, airline, hotel, resort, car rental, tour operator, or any other entity that provides travel services to client.
NOTICE REGARDING CERTAIN OFFENSES: Many foreign governments will deny entry for past Federal, State, or Local criminal or offensive actions – including but not limited to: drug convictions, owed child support, DUI, domestic violence, predatory behavior, or any felony arrest history. Specially Designed Travel is not responsible for clients who are denied entry to countries if the client is denied entry to such countries. Specially Designed Travel is not responsible or liable for any costs associated with being unable to enter a country and the cost to return home.
It is recommended that you review the CDC guidelines and US Dept of State Travel Advisories before placing your deposit on this trip.
